PA/EA required for a new role in the Sedgefield area.  This is a permanent, full-time role working for a Senior Leadership Team.

The Role
Providing daily assistance to a team of Senior Directors providing a full secretarial/administrative support function, including typing of reports/presentation, diary management, preparation for meetings and conferences, global travel arrangements and hire car management.

Duties will include:
The provision of a full secretarial/administrative support to the Central Directors, including preparing reports, drafting presentations, sales & marketing brochures, spreadsheets and minute taking when
Co-ordination of the sales & marketing gifts & promotional materials;
Co-ordination of Capex requests on behalf of the Managing Director/Finance Director;
Upkeep of calendars and diary management assistance;
Arranging on site/off site meetings, functions, trade shows and other events;
Management of bookings for on-site conference facilities;
Preparation of annual meeting schedules;
Arranging/booking all business travel including flights/trains/ferries/hire cars together with other travel bookings as appropriate and liaising with travel agents;
Upkeep of traveller profiles/insurance cards;
Management of the Company Pool Cars, including issue of cars to drivers, processing car accident insurance claims, arranging servicing and cleaning etc;
Validation and maintenance of records of all driving licences for employees required to drive on company business and the coordination of the company fuel card scheme;
Management of all external hire cars on behalf of the Company, updating the Motor Insurance Database (MID) with company/hire car registrations;
Reconciliation of all company mobile phone, hire car and fuel invoices;
Renewal of Company patents;
Maintenance of company insurance certificates/records;
Updating company website as and when required;
Screening phone calls, enquiries and requests, prioritising/handling them where appropriate;
Opening and distribution of daily post;
Purchasing of office supplies;
Any other similar requirements/duties as required.

Experience Required
Previous secretarial/administration experience supporting senior level staff
Knowledge of fleet management desirable
Excellent written and verbal communication skills
Good IT skills including proficiency with Microsoft Office
Strong organisational and time management skills
Ability to handle confidential situations
Flexibility is essential
A business administration qualification desirable.
